What data we collect, why, and what happens to the files you upload — in plain language.

Who this applies to

Everyone who visits Potato PDF or uses any tool, with or without an account.

What we collect

• Account details — name, email and a hashed password, or your Google name and email if you sign in with Google.
• Optional profile details — country, time zone, social links and business details.
• Files you upload — only to perform the tool you chose (see below).
• Contacts you add for signature requests.
• Usage data — pages visited, approximate location from your IP address (via ip-api.com), device and browser, for statistics and your optional tool history.
• Feedback and messages you send us.

Your files

Many tools run entirely in your browser — the file never leaves your device. Server tools store the file only while it’s processed; results are deleted after download or within 24 hours. We never read, share, sell or use your files to train AI.

How we use data

• To run your account and sign you in.
• To remember your tool settings, workflows and preferences.
• To answer your messages.
• To understand which tools are used and improve them (aggregated).
• To send signature requests and team invites you ask us to send.

Cookies and storage

We use a session cookie and a security (CSRF) cookie that the site needs to work, plus local storage for small preferences like dark mode. See our Cookie Policy.

Sharing

We don’t sell personal data. We share it only when needed to run the Services — for example with Google if you use Google sign-in, with ip-api.com for approximate location, or with Google Gemini / PageSpeed when you use those AI and website tools (only the text or URL you submit).

Retention

Uploaded files: deleted after processing, at the latest within 24 hours. Account data: kept while your account exists and deleted when you delete your account. Tool history: 7 days, only if you turn it on.

Your rights

You can view and edit your details in your account and permanently delete your account from Security settings. For anything else, use our contact page.

Children

Potato PDF isn’t directed at children under 13 and we don’t knowingly collect their data.

We use password hashing, optional two-factor authentication and HTTPS. See our Security page.

Changes

We may update this policy; the date above shows the latest version.
